For advertiser’s convenience, these centralised departments coordinate every detail from booking confirmations, production material, deadlines and the invoicing of all accounts.

1. Advertisements are only accepted for publication in the publications represented by Newspaper Advertising Bureau – NAB, subject to the following conditions:-

a) The right is reserved to withhold advertisements from publications and to cancel any advertisement order that has been accepted.

b) No liability is accepted for failure to publish, or for publication on dates other than those stipulated by the advertiser, or any typographical or any errors of any kind, or for any loss or damages in consequence of any of the above omissions of any scheduled insertions shall not be considered a breach of the conditions of the order.

c) Telephoned instructions must in all cases be confirmed in writing.

2. Every effort will be made to meet the wishes of the advertisers. However, the acceptance of any advertisement does not guarantee insertion on any specified date at all or in any specific position in any newspaper.

3. The proprietors reserve the right to edit or revise or reject even after acceptance for publication any advertisement deemed by them to be untruthful or objectionable in subject matter or wording, or unsuitable for any other reason, whether space for the advertisement has been booked in advance under an order or not.

4. The proprietors reserve the right to suspend issue on any day and to increase or decrease the usual number of editions with out notice.

5. Space is sold to advertisers for the purpose of making announcements concerning their own business and may not be used for attacking or making invidious parisons with other advertisers, firms, institutions or persons.

6. TC orders may be discontinued on a week’s notice on either side except in the case of guaranteed or special positions, when one month’s notice is required.

7. Orders are accepted for a period not exceeding 12 months from date of first insertion, and should a contract amount not be reached within the period, an adjustment of rate according to the volume of advertising published will be made. This also applies when a contract is cancelled prior to completion.

8. If an order for a given amount of advertising is increased during its term to cover a large contract volume, all of which falls in the original period of 12 months, no reduction in rates shall be rebated for the advertising which has already appeared. The lower rate shall apply only to advertising appearing after the date of increase.

9. On the announcement of new tariff rate, contract advertisers will be protected at their contract rates for 30 days after the effective date of the new rate, or until expiry of the contract which ever is the earlier. The balance of the order will be subject to the new rate. The advertiser may cancel his contract on the date the new higher rate becomes effective.

10. No cancellation for centre spreads will be accepted later than 14 days prior to publication date.

11. Advertisements deeper than 35 cm will be billed as if 39 cm deep.

1. Advertisements that have the same or similar products or pictures, and use a number of different newspapers, each carrying a different address panel must either be keyed differently or carry the publication title at the end of the key number; e.g. 1274/Alberton Record. Material must therefore be supplied for each publication using a different address panel.

2. To distinguish the difference between identical advertisements that appear in English in some newspapers and in Afrikaans or any other language in other newspapers, these must be
keyed as follows:

1274/E – (for English)
1274/A – (for Afrikaans)

3. Stipulation of whether a 39 x 16 booking is a double page spread or 2 facing 39 x8 is vital. Cancellation for a double page spread will not be accepted after 14 days prior to publication.

4. Please advise on your copy instruction, key number and caption at all times, if available the method in which the material is transmitted.

5. Full colour material must be supplied for a two spot colour advertisement booked.

6. The key number and file name of advertisements must correspond when sending material via Quickcut, Websend or via our FTP Server.

7. Black and white material should be supplied made up of only black. No coloured pictures or text should be used.

1. Delivery time: daily newspapers – delivery must take place 3 days prior to insertion. This will allow the mailroom to ensure that inserts comply with specifications and allow time to take corrective action. For the community newspapers the delivery must take place on the Thursday prior to the following week’s inserting. This will allow the mailroom to do a pre-insert run should the inserts exceed the capability of the inserting equipment in a single run.

2. Product specifications:

  • sizes: A5 – minimum size of 148 x 210
  • A4 – A5 minimum 160 gsm for single sheet, minimum 80 gsm for 4 pages
  • Tabloid: maximum width 290mm, 4 pages requires quarter fold if below 80 gsm. 2 pages require quarter fold at all times
  • Broadsheet: maximum width 290mm folded to A3. 2 pages require quarter fold if below 80 gsm.

3. Types of folding: folded inserts must be processed in right-angled folding, parallel folding or centre fold only. no concertina, door or accordion ford should be processed as this causes major production delay.

4. Trimming: all inserts must be given a square and same size trim. There should be no evidence of poor trimming due to blunt knives.

5. Unusual products: any card, die cut, perforated insert or any other material of an unusual nature, dimension or fold, should be checked by the mailroom manager prior to acceptance of booking.

6. Packing and transport: inserts that are stuck together due to still wet ink; that are electrostatically charged or damp, cannot be inserted and should not be processed. likewise inserts with dog-eared or displaced spines cannot be processed. The inserts must be stacked cleanly on stabled pallets and protected against possible transport damage and moisture. Each pallet must be marked clearly with a visible packaging slip on two adjacent sides. All packaging slips must contain the following information:

  • product name
  • publication
  • publication date
  • key number
  • name and contact info of the printer
  • total number of inserts
  • number of inserts in each bundle or box
  • number of inserts on this pallet
  • total number of pallets
  • individual pallet number
  • space for two bar codes.

7. Delivery notes: no goods will be accepted without a delivery note. The delivery note must contain the following information:

  • number of pallets or boxes
  • total delivered
  • publication name
  • name of contact person
  • key number/caption
  • product description e.g. 4 page
    tabloid quarter folded.

8. Left over inserts: the onus is on the customer to collect or inform the mailroom of any reschedules. Should we not hear from the customer within 12 hours it will be put to waste.
